Terms and Conditions

An authorized tour operator Khan Expedition LLC approved by the Mongolian Tourism Association (Permit No: ITO 1122/C) is a legal owner of www.voyagemongolia.com with its state register number of 6087779.

In order to conduct its business, Voyage Mongolia collects contact information, such as your name, address, phone number and email address along with certain personal information from persons who wish to receive information about Voyage Mongolia and its tour packages and services. We use these details to provide you with information about our tour packages and services and to send relevant information to you about us and our partners, such as newsletters, promotions and events.

We do not sell personal data to any third party.

Deposit is required at reservation in the amount of 20 percent of the total tour price per person per trip (please note that increased deposit is required for some tours, depending on itinerary, duration, special circumstances). Once the deposit is received, your reservation will be confirmed and accepted by Voyage Mongolia. We will send you tour Confirmation Letter with details of your itinerary, included services and payment requirements via Email. Please check the Confirmation Letter’s details carefully, especially your travel dates, nationality, passport number, name, date of birth, gender, etc. as soon as you receive it and contact us immediately if you think any details are incorrect.

Final remaining balance is due 30-50 days before first day of the tour included in the applicable booking, which will be specified on the booking Confirmation Letter. If this balance is not paid on or before the due date, we will remind you that payment is due before treating your booking as cancelled by you.

If a booking is made less than 30 days before first day of the tour, then the full amount must be paid at the time of booking.

Our acceptable methods of payment are listed below:

• Payment by credit cards (Visa and Master cards)
• Bank Transfer

It is highly recommended to seek the help of your travel consultant when making payment, as they can assist you in selecting the most appropriate payment method based on the real-time exchange rate, your location and other factors.

Tour prices are quoted in U.S. dollars and based on today’s exchange rate. Tour prices are subject to change until paid in full. All prices are per person.

We recommend you read and review the cancellation policy and consider purchasing a Travel Insurance in your country. Cancellation fees are calculated based on the date we receive from you cancellation email including all your booking details (to be sent simultaneously to mail addresses info@voyagemongolia.com and voyagemongolia@gmail.com as soon as you can) and first day of the tour.

Customers who cancel within the dates shown below for any reason, including medical or family reasons, are subject to the following per-person cancellation fees:

• More than 30 days: 10% of the total cost, minus any costs incurred (VAT, flight and hotel cancellation fees, permit fees, bank transaction fees and any other applicable fees depending on the trip).
• 30-15 days before commencing tour: 30% of the total cost.
• 14-7 days before commencing tour: 50% of the total cost.
• 6-0 days before commencing tour: 100% of the total cost.

Cancellation by us: We reserve the right to cancel the contract between us for any reason prior to your payment of the full price of the tour, whereupon we will refund any monies that you have paid us in full. After full payment has been made, we will only cancel the contract if circumstances beyond our control make it unavoidable.

There will be no discounts or monies refunded for any missed or unused services.

• Voyage Mongolia scheduled tours are based on minimum 4 pax in a group.
• If the group falls below 4 passengers, we will be unable to run the scheduled trip. In this case upon agreement between the participant and the Tour Operator, we may still run the trip privately with an additional surcharge of USD 150–400 per person, depending on the group size and departure date. There must be a minimum number of 2 people for these private tours.

• Traveler must ensure they hold a valid international passport with at least six (6) months’ validity beyond the date of entry.
• Travelers are solely responsible for having valid documents for their trips. After booking and deposit, you will receive information on securing a visa, if requested. For more see the Mongolian Visa Support Application: Step by Step Guide. Please ensure your full name, date of birth, and other personal details exactly match those on your travel bookings and visas. Please carefully check your invoice and all travel documents we send. Contact us immediately if any information appears incorrect.
• The Company is not responsible for governments, consulates, border authorities, or airlines that may prevent Travelers from starting or continuing their trips.

Price of your travel does not include:

• Travel insurance (We strongly recommend you consider purchasing a valid Travel Insurance in your country, covering medical expenses, cancellations, accidents, and personal belongings.).
• Visa fee.
• International flights.
• Domestic flights unless specified.
• Airport taxes and excess baggage charges unless specified.
• Optional activities and all personal expenses.

We reserve the right to substitute itineraries, hotels, tourist Ger camps, events or sights due to conditions beyond our control. In such cases we will do everything possible to ensure the locations visited, the excursions taken and the hotels offered are similar to the ones originally planned. Any change to itineraries will not result in eligibility for a refund.

• Should you have any complaints about any aspect of your tour, you must inform your travel guide or our office immediately. Problems can most easily be dealt with on the spot. In cases where a satisfactory remedy is not achieved, you must submit a written complaint to Voyage Mongolia within 30 days after the tour has ended. Complaints received by us will be acted upon promptly and fairly within the terms of these conditions.
• Please note, if you do not report a problem or complaint straight away, we cannot accept any liability in respect of that problem or complaint.

Voyage Mongolia provides you with the best value in 3* to 4* hotels in cities. Check in is generally at 2 PM, Check out – at 12 PM.

• Infants under 2 years: Free of charge.
• Children aged 3–10 years: 30% discount off the regular adult price.
• Children 11 years and older: Charged at full adult price.

The validity of Voyage Mongolia’s terms and conditions extends through December 31, 2026.
